W4Sight helped Chicago House's executive team to identify the key performance indicators and other statistics they wanted to generate across the agency as a whole and for each program area. Using these reporting goals as a guide, W4Sight worked with each of the five major program areas to review their business processes, forms, and reports to make recommendations for standardizing and streamlining across the organization. The recommendations served as the blueprint for expanding the use of Chicago House's case management system from one program to the entire organization.
W4Sight helped the Ounce integrate their new cloud-based travel and expense system with their existing financial software. We developed the requirements how data should be exchanged between the two systems, and oversaw all testing and training of the new interface. Our firm also advised the Ounce's project team on how the finance team should incorporate the new system into their regular business processes.
Software Selection and Implementation
W4Sight worked with ProBAR, a legal aid agency, to review their business requirements and select a case management system to help them track information about both their legal aid clients and their associated legal cases. This project required a careful assessment of both legal case management and social service case management software to help the organization make the right decision to meet their needs.
W4Sight led APTP through an overview of several web-based donor management systems with price points and features appropriate for a smaller organization.We helped APTP make the final decision to adopt a relatively inexpensive product with an import tool that allows them to easily continue working with a 3rd party ticketing service, and implement a structured major gifts campaign. W4Sight also developed the data conversion rules to ensure that their existing data could be used to populate as many fields as possible in their new donor management system.
Software Optimization
W4Sight worked with the Emergency Fund (now known as All Chicago) to review its donor management system setup, including constituent, campaign, fund, and appeal codes. We made recommendations for streamlining these codes to improve data quality and reporting, and updated existing data. Afterwards, W4Sight provided new guidelines for gift entry to keep the data clean. Our firm also developed custom reports for the development team to use in communicating with the organization's finance team and the board.
W4Sight led the Moran Center team through an evaluation of their current case database to identify short-term improvements that could be made to the current system to facilitate more efficient and effective reports for program management and funder compliance. In the process, our firm identified a number of process improvements to be included in the Moran Center’s longer-term plan of acquiring a fully featured case management system.
